Director of Advancement Services

Founded in 1864, Saint Xavier High School is a Catholic college preparatory school for boys in grades 9-12 sponsored by the Xaverian Brothers. In addition to academic excellence, St. X has established itself as an athletic powerhouse in the region. Our 54-acre campus is located in the heart of Louisville.

St. X is proud to be the only Kentucky high school to have earned the US Department of Education’s Blue Ribbon Award five times and is consistently ranked among the ‘Best Catholic Schools’ in America by Niche, the largest website for researching K-12 schools.

Saint Xavier High School is searching for a Director of Advancement Services, reporting directly to the Executive Director of Institutional Advancement. The Director of Advancement Services plays a critical leadership role in advancing Saint Xavier’s mission through the strategic management of the Blackbaud Raiser’s Edge donor database, data analytics, and prospect research. This position ensures data integrity, maximizes reporting and segmentation capacity, and enables high-performing fundraising, stewardship, and engagement strategies. The Director works collaboratively across the Institutional Advancement Office and with other departments, including the Business Office and IT, to support a strategic and integrated data-informed approach to philanthropy.

Key Responsibilities

Database Management & Advancement Technology

· Serve as the primary administrator of Blackbaud Raiser’s Edge and Raiser’s Edge NXT, ensuring the integrity, accuracy, and security of all constituent data.

· Maintain, update, and enhance the database through audits, de-duplication, biographical updates, and system upgrades.

· Oversee NXT Integration with other technology platforms, including Almabase and Finalsite.

Reporting and Analytics

· Design and produce strategic data reports, dashboards, and analytical tools to measure fundraising performance, donor engagement, and campaign progress.

· Support major gift and campaign strategies with timely and actionable insights through moves management.

· Lead the data collection and preparation for institutional benchmarking surveys and reports (CASE, NAIS, Archdiocese, etc.).

· Pledge validation for annual audit

Prospect Research & Pipeline Management

· Develop and execute an annual prospect research and portfolio management strategy to identify, qualify, and support high-potential prospects.

· Prepare detailed donor and prospect profiles, research briefs, and giving analyses for fundraising staff and school leadership.

· Coordinate the moves management systems, including filing contact reports, tracking actions, and coordinating the portfolio process to maintain accurate and timely targeting and solicitation.

Stewardship & Campaign Operations

· Manage the processing and acknowledgment of gifts, pledges, pledge payments, matching gifts, memorial and honorarium gifts, and other contributions.

· Oversee the creation of annual endowment impact reports and accurate donor listings for the Annual Report.

· Ensure timely and personalized donor acknowledgment, recognition, and stewardship, in collaboration with frontline fundraisers.

· Assist in the execution of direct mail campaigns by preparing lists, segmenting data, and tracking performance.

Collaboration & Operational Support

· Partner with the Business Office on reconciliation, gift audit preparation, and financial reporting for the Head of School and Board of Directors.

· Serve as a strategic partner to Advancement colleagues by providing high-quality data, lists, and operational support for appeals, events, and campaigns.

· Support on- and off-campus advancement events as needed.

Qualifications

· Bachelor's degree

· Minimum of 5 years of experience in advancement services or nonprofit fundraising operations

· Expertise in Raiser’s Edge and Raiser’s Edge NXT is required

· Strong understanding of donor segmentation, data analytics, and fundraising metrics

· Experience managing integrations with digital platforms such as Almabase and Finalsite

· Demonstrated ability to synthesize complex data into actionable insights for fundraising strategy

· Excellent project management skills and attention to detail

· Strong written and verbal communication skills
